Q. What is document imaging?
A. Document imaging is the process of transition your paper documents to electronic files. This process involves scanning your documents and placing them in a format such as .pdf, .tiff, .jpeg, .png and more.

Q. What type of scanner do I need for my office?
A. Generally it depends on the amount of scanning you have to do and the frequency. For small workgroups (10-15 people) a decent workgroup scanner will suffice. You can also use a workgroup scanner to do larger jobs, but it will take more time. A good indication of scanning time is the scanner’s pages per minute (PPM) speed.

Here is the typical breakdown:

  • Mobile scanners - 8 pages per minute
  • Typical home office or personal scanner – 20 pages per minute
  • Workgroup scanner for small office – 40 pages per minute
  • Department scanner – 60 pages per minute
  • Production scanner – 90 pages per minute and beyond

Q. I want to scan old photos. What type of scanner would I need for that?
A. The quality of a scan image is based on the scanner’s Dot Per Inch (DPI)capability. So if you want more details in your image, you will need a scanner with high DPI resolution capabilities. Typical scanners have 600 DPI, which works great for text and basic images. If you want to go with higher resolution, 6400 dpi would give you greater level of detail.

Q. Can you convert scanned images into Microsoft Word or Excel?
A. Yes. When a document is scanned, it is scanned as an image and typically saved in a pdf or image format. Using optical recognition software we can convert image data into any format that you can work with such as word, excel, and others.

Q. Can I really save money by calling Attella and having you guys scan my documents?
A. Absolutely. There are a couple of thing to consider when thinking about going paperless.

a.) The total time it takes to store, organize, search, and manage your paper documents.
b.) The total time it takes to process information that is on printed documents.
c.) The resources you have to commit to paper records.

If you add all that up along with the cost associated with storing paper documents such as cabinets, office equipment, and others you will see that you are spending more now than what you would invest to transition to paperless.

Part of the challenge is the logistics involved to get there. If you wanted to convert your paper records to electronic files, you would have to box them all up, drive them to an office store that will charge an arm and a leg, and do all the up front work. Before they even accept your documents, they want you to prep it (remove staples, separate pages) and place them in the order that you want them to be. In other words, they are not equipped for scanning project and more importantly, they look at it as a single task rather than a project to assist you with doing things better and efficiently.

Q. What is e-discovery? Do you provide e-discovery services?
A. E-discovery is the process of gaining background information about data stored in electronic format. Usually, electronic files have hidden attributes such as time stamps (when the document was created, modified, or stored), metadata, information about the document itself, and other info that is not available on paper documents. These attribute become important in litigation involving discover or certain information relative to documents and their origin.

A. Yes. We have teammates that are knowledgeable with the latest ECM technologies and solutions. Because we are not an ECM product vendor, we can work with you and find an ECM product that will fit within your budget, goals, and requirement. Q. Is there a minimum amount of documents that you guys will scan?
A. No. We take on all jobs big or small. We charge a trip fee for onsite document scanning projects with documents less than 500 pages, but that is pretty much it.

Q. Do you provide Bates Stamping services?
A. Yes. Bates Stamping, Numbering, and Bar Coding is a method used to identify images with a stamp, bar code, or other way of identifying an image that is scanned by date, time, or other category. It is a tool used to organize data and Attella can provide this service as part of the document scanning process.

Q. Do you provide document destruction services?
A. Yes we do. Our document destruction service is a bit different from current common practice in that we actual destroy the document at your location. You document do not leave your facility in tact or in a form that can be reassembled. We use Level 6 security shredders (the highest security level) to ensure that your document will be almost impossible to reassembled and for data to be retrieved BEFORE leaving your office or home.

Q. Can you scan books?
A. Yes we can. We can digitize your entire library and place it online.

Q. How can we reduce our IT equipment operating cost?
A. The best way to do so is by properly maintaining your equipment and ensuring that they are optimized, ensuring that you are not spending money on unnecessary software or hardware, and by minimizing your equipment related expenses by consolidation your hardware using virtualization solutions.
